Incomplete records require reconstruction

Incomplete records exist when a full and consistent double-entry system is unavailable. Some cash details, invoices, or personal balances may survive, but the set of ledger accounts cannot be relied on as complete. This can arise from limited skills, lost records or weak systems; it is not automatically evidence of deliberate wrongdoing. The accountant reconstructs information from available evidence and states assumptions. A calculated answer can be precise arithmetically while still depending on uncertain valuations or missing transactions. Reliability must therefore be considered alongside the calculation.

A statement of affairs lists and to estimate capital at a date. It may resemble a statement of financial position, but figures reconstructed from incomplete evidence do not have the same supporting record trail as a complete set of accounts. Capital equals less . Opening and closing statements can support an estimate of , adjusted for capital introduced and drawings. Do not treat the change in capital alone as when the owner has added money or withdrawn resources during the period.

Derive from changes in capital

For a sole trader, closing capital = opening capital + additional capital + − drawings. Rearranging gives = closing capital − opening capital − additional capital + drawings. If opening capital is ₦120,000, closing capital₦170,000, new capital₦20,000 and drawings₦15,000, is ₦45,000. The drawings are added back because they reduced closing capital without being a business expense. New capital is deducted because it increased capital without being earned as .

The method depends on complete inclusion and appropriate valuation of and at both dates. An omitted liability overstates capital, while an overstated asset has the same direction of effect. If opening and closing errors differ, the estimate can be distorted. Goods withdrawn by the owner also need to be considered as drawings under the relevant cost convention. Clear workings should list each balance and adjustment rather than present a single unexplained figure.

Use control-account logic to find missing transactions

Receivables information can reconstruct credit sales. In a simple case, closing receivables = opening receivables + credit sales − receipts from credit customers − returns − discounts allowed − irrecoverable debts. Rearrange for the missing credit sales, including any additional items supplied. Cash sales must be found separately. Receipts from customers are not necessarily equal to sales because some settle opening debts and some sales remain unpaid. The same logic applies to payables when reconstructing credit purchases.

Suppose opening receivables are₦30,000, customer receipts₦100,000 and closing receivables₦40,000, with no other items. Credit sales are₦110,000. If discounts or returns exist, the formula must include them rather than treating the difference as unexplained cash. Gross- margin and markup can also help reconstruct missing amounts, but use the correct base. A 25% marginmeans gross is 25% of sales; a 25% markupmeans is 25% of cost. They are not interchangeable percentages.

Nonprofit organisations have a different primary objective

Clubs, associations and other nonprofit organisations provide services for members or a stated purpose rather than distributing ordinary trading to owners. They still need reliable records, , and financial accountability. A surplus can support future activities, while a deficit can reduce accumulated funds. Nonprofit does not no income, no expenses or no need to manage resources. Some organisations also operate trading activities, which should be analysed appropriately rather than mixed into subscriptions without explanation.

A receipts-and-payments account summarises cash and bank movements during a period. It includes capital and items and does not by itself adjust for accruals or prepayments. Opening and closing cash balances are part of that summary. An income-and-expenditure account reports income and expenses belonging to the period on the stated accrual basis. It excludes capital receipts and payments from ordinary period performance and includes relevant adjustments such as . The two accounts answer different questions, so their final balances need not match.

Opening and closing cash balances

Part of that summary.

Subscriptions and accumulated funds

Subscription income must be adjusted for amounts outstanding and received in advance. A simple formula is cash received + closing arrears − opening arrears + opening advances − closing advances. Closing arrears relate to the period but remain unpaid; closing advances relate to a future period. Opening arrears collected now were income of the earlier period and are excluded from income. Opening advances become income when the membership period is earned. Trace dates and entitlement rather than memorising signs alone.

If subscriptions received are₦90,000, opening arrears₦8,000, closing arrears₦12,000, opening advances₦5,000 and closing advances₦7,000, subscription income is ₦92,000. Arrears and advances also appear in the appropriate asset or liability positions. Accumulated fund is the nonprofit equivalent of the residual net under the elementary format. It increases with a surplus and relevant capital additions and decreases with a deficit. It is not merely the amount of cash in the bank.

Special activities and self-check

A separate trading or event account can identify the result of a bar, shop, fundraising dinner or similar activity. Match its with the related costs and inventory changes where applicable. A donation may have conditions or restrictions that affect treatment under the framework specified; do not assume every receipt is unrestricted income. Capital spending on equipment creates an asset under the appropriate basis, with recognised over use. Presentation should make the source and purpose of funds understandable to members and reviewers.

Self-check: why is buying equipment included in receipts-and-payments but not deducted in full as an ordinary expense in income-and-expenditure under accrual accounting? One records cash movement; the other recognises period performance. Self-check: why add drawings in the capital-comparison formula? They reduce capital without representing business loss. In every reconstruction, state assumptions, show account logic and check the direction of each adjustment. Missing records call for stronger evidence and careful explanation, not invented amounts that merely make a statement balance.

Further application

When a reconstruction depends on a gross- percentage, state whether it is margin on sales or markup on cost. A margin of 20% means cost is 80% of sales, while a markup of 20% makes sales 120% of cost. Choosing the wrong base can distort every later figure.

Key rules & principles

  • Capital comparison must adjust for drawings and new capital.
  • Receipts from customers are not automatically sales.
  • Margin and markup use different bases.
  • Receipts-and-payments reports cash; income-and-expenditure reports period performance.
  • Nonprofit organisations still require , and accountability.

Worked examples

Opening capital₦120,000; closing₦170,000; new capital₦20,000; drawings₦15,000. Find profit.

Answer: ₦45,000.

Subscriptions received₦90,000; opening arrears₦8,000; closing arrears₦12,000; opening advances₦5,000; closing advances₦7,000. Find period income.
  1. Start 90,000.
  2. Add closing arrears 12,000 andopening advances 5,000.
